An HR manager emails in early November. She wants 120 self-care sets for a remote team, a company logo on every box, a note from the CEO inside, and everything delivered before the holiday break. She has a spreadsheet and a budget per person, and she'd like to know by Friday whether you can do it.
Bath and body orders raise questions a box of cookies doesn't. Scent is personal, lotions and oils can leak, glass breaks, and some ingredients ship under carrier restrictions. The order itself has the same shape as any corporate gift order: one buyer, one invoice, a list of recipients and one deadline.
The buyer has to find you before any of this happens. If your store doesn't show that you take orders like this, the email goes to another brand. Our guide to building a corporate gifting page that converts covers that side, and this post starts once the request lands.
Build sets around the buyer's budget per person
Corporate buyers often arrive with a per-recipient number in mind, like $20 or $35. Simon Paquin, COO of Montreal cookie brand Félix & Norton, told us some buyers decide based on whether a gift is a dollar over or under that number.
A bath and body brand can meet them with two or three fixed sets at clear price points. A bar and a balm might sit at the low end, with lotion and a candle in the fuller set.
Keep the set the same for everyone on the list. Taylor Clark at Goode Company told us their large corporate orders are almost always one uniform gift, so every recipient feels equally appreciated. Fixed sets also make the order faster to build, because every row on the spreadsheet maps to the same product.
If you sell those sets as bundles, see how specialty food brands handle gift bundles. Feridies and The Virginia Diner set theirs up so CS isn't building each order by hand.
Give the buyer a scent the whole list can use
A signature scent the buyer loves may not suit 120 colleagues. Offer an unscented or lightly scented version of each set, and list the ingredients on your gifting page. A buyer sending to a large group can then choose the neutral set without emailing you about each recipient.
Some buyers will want to mix scents across the list. In Send To Many's multi-recipient checkout, the gifter chooses products for each recipient, so a mixed order is still one checkout and one payment.
The packaging is what the recipient remembers
Simon's view is that in gifting, the packaging is the product. His example was a soap brand shipping its bars in a small custom luggage box with a "safe travels" message, so the box and soap tell one story. Self-care products suit this well, because opening the box is part of what the recipient is being given.
For corporate orders, the buyer's brand goes on the box too. Offer a logo sleeve, a sticker, or a printed card, and put minimums and lead times on your gifting page. Goode Company replaces the lid on its wooden pie box with a fire-branded company logo, and customizations are now its fastest-growing SKU.
Inserts need the most care. At Goode, only the most experienced team members handle customizations and inserts, because the wrong card in a box sends a message the customer never intended.
Plan for leaks, breakage, and weather
Seal pumps and caps, wrap glass jars, and test-ship a finished set before you quote a large order. Check your carrier's rules for aerosols and alcohol-based products like perfume or hand sanitizer before they go into a set.
Bars and balms can soften in a hot truck, and lotions can separate if they freeze in transit. When the list spans several regions, choose a delivery date and shipping method that keep each box in transit for as little time as possible.
Bad addresses cost more with breakables, since a returned box may not survive a second trip. Send To Many validates every address on an uploaded list and suggests corrections before any order is created. Goode Company told us they had fewer resends in their first year on the app because bad addresses were caught before shipping.
Turn the spreadsheet into orders
We ask gifting teams one question: how long would it take you to turn a 100-recipient spreadsheet into orders in Shopify? If the answer is more than five minutes, the work lands on your CS team and the buyer waits longer for a confirmation.
With Send To Many's spreadsheet upload, your team uploads the buyer's file as it arrives and maps its columns, so the buyer doesn't have to reformat anything. Before any orders are created, the app previews inventory and shipping for each recipient. For bath and body brands, that preview shows whether you have enough cured soap or small-batch stock before you promise a date.
Send To Many then creates one Shopify order per recipient and a single invoice for the buyer. Your fulfillment team picks and packs those orders the same way they handle every other order in the store.
Some buyers would rather talk before committing to a five-figure order, and some prefer to hand the whole list to your team. A corporate gifting inquiry form on your gifting page captures the request, and your team follows up for the recipient list and builds the order from there. Offering a path for every kind of gifter is one of our red carpet rules for gifting shoppers.
Run a test order before the next request comes in
Place a test order for one of your sets: ten recipients, a gift message, and a logo insert, shipped to people on your own team. Follow it from the spreadsheet to the doorstep and note where it slowed down. The gifting journey guide lists what to check at each stage, from the first click on your gifting page to the recipient's shipping email.
Send To Many helps you deliver an amazing journey to your gifting customers, whether they're sending to 2 or 2,000 recipients. With multi-recipient checkout and spreadsheet upload handled inside Shopify, you can spend your time on the sets and the packaging. Install Send To Many on Shopify.
